Under the supervision of the Grants and Partnership Head of Department, the Grants Officer will ensure follow up and quality of Donor reporting and oversee the communication strategy of the ACF Ukraine country office
Qualifications and skills:
- Studies related to humanities or social sciences, and/or other relevant fields
- Excellent written and spoken English
- Good working knowledge of Microsoft Office (Word, PowerPoint and Excel)
- Proven experience of copy-writing and editing articles, reports and presentations
- Academic exposure to grants management, program management and/or monitoring and evaluation
- Attentive to detail, meticulous and organized
- Proactive team player with the ability to think and work independently
- Excellent communicator, who shares ideas and discusses solutions
- Critical thinker, who identifies problems and proposes solutions
- Ability to work in a dynamic, multicultural environment, to work under stress and to meet tight deadlines
Mission 1: Support on elaboration of Donor reporting, compliance with Donor requirements and grant monitoring
- Coordinate the production of external and Donor-related documents, including contractual and non-contractual reports and communication material, with the Programme teams at coordination and field level
- Consolidate, hands-on review and finalise Donor reports (verifying the coherence with proposal and previous reports, the quality and the coherence with donors' guidelines)
- Prepare the final package for Donor reports, including but not limited to narrative report and contractual and non-contractual annexes and supporting documents
- Ensure regular follow-up of Donor contractual reporting deadlines by timely sharing relevant information to the programme and support teams at coordination and field level, and by regularly updating and sharing internal trackers (including the Grants Follow-Up)
- Ensure all contractual documentation is archived in the relevant online folder and ensure the respect of the folders' structure and regular update by the relevant colleagues
- Participate to proposal development in coordination and upon request of the Grants and Partnership HoD
Mission 2: Ensure compliance with Donor communication and visibility requirements
- Participate to internal communication inside the Grants and Partnership Department and with other Programme and Support Departments, at coordination and field level and on the same with the Programme Support Officer and Operational Communication Manager in HQ
- In accordance with the Donor requirements, oversee the communication strategy and support the programme teams and field offices in its implementation, including through field visits and content creating in ACF areas of operations as relevant
- In accordance with the Donor requirements and in relation with the field team, to produce and disseminate communication material about Action Against Hunger projects
- Create and manage Action Against Hunger social media to ensure visibility of its activities and in keeping with the Donor requirements and Action Against Hunger internal regulations (including GDPR)
- Create and update a tool following up on Donor visibility and communication requirements and support the teams in meeting the requirements and the contractual and internal deadlines
- In relation with the Operational Communication Manager in HQ, create content targeted to external audience as part of a communication strategy validated by the Country Director
Mission 3: Support of the teams and maintain efficient information organization and sharing practices.
- Foster collaborative work practices and contribute to information exchange within and across teams
- Provide support to the coordination and field teams on the topics of reporting, writing, compliance with Donor contracts and proposals, communication and navigating ACF sharepoint (NHF) as needed
- Ensure proper filing and recording of grants (project documents, contracts, reports, etc.);
- Maintain the grants library, which involves keeping paper and electronic copies of all grant related documents filed appropriately and on time
Mission 4: Ensure compliance to ACF Values & Principles, Gender equality, Child protection sensitivity and Safeguarding policies
- Ensure compliance and exhibiting ACF Values i.e. helping people in need, No-discrimination, Transparency, Neutrality, Independence, and Professionalism
- Read and ensure a full understanding of ACFs Gender, Child Protection and other safeguarding policies
- Implement all work related activities with a gender, inclusion and child protection lens
- Help build an inclusive office environment where people do not feel disadvantaged or judged according to their gender or limited due to manageable disability
