IFES is a non-profit, non-partisan international organization. As the global leader in democracy promotion, IFES advances good governance and democratic rights by providing technical assistance to election officials; empowering the underrepresented to participate in the political process; and applying field-based research to improve the electoral cycle. Since 1987, IFES has worked in over 145 countries, from developing democracies to mature democracies.
Since 1994, IFES has played a significant role in promoting electoral, administrative and legal reform in Ukraine. In cooperation with partners in Ukrainian civil society and the Central Election Commission (CEC), IFES is working to foster dialogue on electoral reform, build the capacity of local NGOs, institutionalize best practices in training election officials, and ensure more equal representation in the electoral process for disadvantaged populations, especially women, representatives of national minorities and persons with disabilities.
IFES is seeking applications to fill in the position of Finance Assistant. Under the supervision of the Senior Finance Officer/ Finance Officer, the Finance Assistant`s responsibilities will include:
MAJOR DUTIES AND RESPONSIBILITIES:
- Support the monthly program financial cycle by:
- assisting in verifying the accuracy of all incoming payment requests and in compiling processed payment requests according to the internal procedures and donor requirements;
- assisting in preparing vouchers for monthly finance expense report;
- assisting in the preparation of the supporting documents for the monthly finance expense report for IFES Headquarters;
- Provide support in verifying the accuracy of invoices and acceptance acts in terms of contract conditions;
- Maintaining the tracking spreadsheet to monitor that the contract expenditures do not exceed the contract ceiling;
- Conduct due diligence and screening of the physical and legal entities through specialized software;
- Assist in preparing monthly VAT exemption reports;
- Support in preparing travel expense reports and any required supporting documentation;
- Organize and maintain hard copies of documents along with digital records of the files and folders of the Finance Unit;
- Assist in supporting new employees with the preparation of finance documentation and on/offboarding related to finance processes and procedures;
- Provide temporary backup support on any other Finance Unit duties in the absence of Finance colleagues.
SKILLS AND SPECIFICATIONS
- The ability to remain organized while handling multiple tasks under tight deadlines;
- Attention to details;
- Ability to complete tasks with supervision;
- Excellent communication skills in English and Ukrainian;
- Willingness to adhere to all principles of confidentiality;
- Must value operating in a collaborative and cooperative environment;
- Ability to show initiative, good judgment, and resourcefulness.
EDUCATION AND QUALIFICATIONS
- Bachelor’s degree in finance, accounting, or related field;
- Prior experience in finance, accounting, or related field is preferred;
- Previous experience working with international development projects or NGOs is an asset;
- Proficiency in MS Office (Word, Excel, Outlook, and PowerPoint);
- Experience with accounting software such as QuickBooks and online banking is preferred;
- Experience working on UK/USAID/Canada-funded programs is an advantage.
LANGUAGE SKILLS: Fluency in written and spoken English and Ukrainian languages required.
TRAVEL: Travel may be required.
