Overview
The International Centre for Migration Policy Development (ICMPD) Regional Office for Eastern Europe and Central Asia (RO EECA) is looking for a Team Assistant to provide critical administrative and logistical support to its project operations in Ukraine. The RO EECA, based in Vienna, Austria, works with over ten countries, implementing migration-focused initiatives that address topics like diaspora engagement, return and reintegration, border management, labour and legal migration, capacity building in different migration areas, visa dialogue, etc.
As part of ICMPD’s mission to support effective migration governance, the Team Assistant will work closely with the Project Officer in Ukraine and the Project Team in Vienna ICMPD HQ under the general supervision of the Project Manager.
Note: This position is open exclusively to Ukrainian nationals and is contingent on funding availability.
Responsibilities
- Provide general administrative support, including managing correspondence, organising project files, managing calendars, and preparing minutes of the meetings.
- Coordinate event logistics, including travel arrangements, venue setup, and preparation (scheduling, invitations, and follow-up documentation) for workshops, meetings, and conferences.
- Support financial administration by assisting with expense reporting, and processing payments for services, consultants, and contractors.
- Prepare and organise documentation for expert recruitment, procurement, and contracting, in alignment with ICMPD standards.
- Monitor contracts with vendors and service providers, ensuring timely execution and payment.
- Draft and review project-related documents, including financial reports.
- Maintain project databases, including participant lists, project folders, and administrative documents.
- Assist the Regional Office EECA team with ad hoc support tasks, as required.

Requirements
- Education: Bachelors or equivalent in social and political sciences, business administration, finances etc. is a requirement.
- Experience: Minimum of 2 years of experience in an administrative role; experience with international organisations is an asset.
- Skills: Strong organisational, communication, and coordination skills, with experience in event planning and report drafting. Proficiency in standard IT systems; knowledge of SAP is an asset.
- Languages: Native Ukrainian and fluent English; proficiency in German is considered an asset.

- Compensation: annual net base salary starting at 18,240 EUR (increment 1 of the applicable grade and salary scale for the duty station)
