Administration Specialist / Owner’s Assistant

Key Requirements:
- Proficiency in English at a B2 level or higher (required for communication with native speakers via correspondence and occasionally by phone)
- Reliability and trustworthiness: absolute honesty and loyalty are critical. You must be someone we can rely on 100%. You will work with our finances and personal matters, making this the most essential quality we seek.
- Ability to learn quickly and high adaptability
- Strong analytical skills
- High concentration, self-organization, and attention to detail: you enjoy creating and maintaining structure. If your personal space is organized and you pay attention to details, you’ll fit in well with our team.
- Proactive and self-motivated approach
- Proficiency in Excel and Google Docs/Google Sheets
- Experience with Amazon platforms is a significant advantage!

Responsibilities: The ideal candidate is known for their «result-oriented» approach and ability to thrive in a dynamic startup environment. In this role, you will be responsible for handling approximately 80% work tasks and 20% personal tasks for our CEO, as well as executing essential administrative duties for the company’s operations.
Managing Work Tasks:
- Serve as the point of contact between our CEO, employees, and external partners
- Manage the flow of information accurately and on time
- Assist in managing various projects in ClickUp
- Format information for internal and external communication

Administrative Tasks:

Launching New Amazon Accounts:
- Participate in setting up Amazon accounts (gathering and submitting documents, connecting virtual accounts, verification)
- Register VAT numbers for European accounts
- Provide licensing documents

Ensuring and Improving Amazon Account Health:
- Regularly monitor account health and initiate corrective actions
- Submit appeals and liaise with Amazon to resolve policy or rule violations
- Support trademark and brand registrations in the regions of sale
- Communicate with support services on different platforms and service providers
- Assist with setting up, registering, and servicing various accounts with financial, commercial, and governmental organizations
- Manage access to various IT systems and information resources
- Compile, update, and submit forms, documents, and agreements based on researched samples and templates
- Conduct research and analyze necessary information
- Perform other tasks as needed

Managing Personal Tasks:
- Coordinate and maintain personal records and files for the CEO
- Assist with personal errands and daily task
